St John Ambulance Victoria.

INTEGRATED FLEET MANAGEMENT

St John Ambulance Victoria is a self-funding charitable organisation active in all states and territories, dedicated to helping people in sickness, distress, suffering or danger. St John is Australia’s leading provider of first aid training, first aid services at public events and supplier of first aid kits and equipment.

The Challenge

In a collaborative effort with the expertise of Forum Fleet, Forum IT was able to develop a sophisticated Cloud Patient Case Booking System for St John Ambulance Victoria.

Fleet visibility was a key component of the St John’s brief. They needed to know where their vehicles were, what they were doing and required a solution that maximised crew productivity.

St John’s existing system required crewmembers to manually complete booking forms on the job, the details of which were later entered into their system. With Southern Area Health requiring the ability to submit bookings directly to St John online, a review of their current system was required. The ability to log bookings from the Emergency Services Telecommunications Authority (ESTA) was also a key priority.

Overall, their current process lacked effective communication between St John’s vehicle dispatch and the various hospitals and health care providers they were working with and an improvement was sought.

The Solution

Rather than updating St John’s previous booking system with fleet management technology, Forum IT developed a bespoke ‘Cloud Patient Case Booking System’ for St John.

From the introduction of a sophisticated rostering system where shifts are now determined and allocated according to the skills required by crew members, to the type of transportation and equipment needed for each case, this innovative new case booking system utilises the latest in TomTom Telematics’s fleet management technology, ensuring optimum productivity.

The ‘Cloud Patient Case Booking System’ also contains a comprehensive case log, detailing patient history. This ensures all necessary medical records are accessible, helping to minimise risks associated with administering medications & procedures without prior patient knowledge.

Booking forms are now completed online, providing hospitals & health care providers with up to the minute information on the state of patients before their arrival.

The system allows for real-time updates and tracking, with requests sent to both handheld and in-vehicle devices, ensuring the latest information is distributed to all of those involved.

Importantly, Southern Area Health now has the ability to access relevant information & submit bookings directly within the St John system. As a key element of a larger strategy aimed at easing the pressure on such emergency services, receiving bookings via the Emergency Services Telecommunications Authority (ESTA) also works to enhance vehicle productivity.

The Result

Since implementing Forum IT’s ‘Cloud Patient Case Booking System’, St John has reduced patient waiting times, increased the number of patient transports per day, and minimised patient risk by providing advanced notice of patient history to hospitals & healthcare providers.
